Finance & Operations Specialist
Reports to: Senior Director of Operations
Classification: Non- Exempt, hourly
Hours: Full-time, 40 hours/week
Location: On-site
Salary: $24 - $26 per hour
Position Overview
The Finance & Operations Specialist is responsible for coordinating and executing day-to-day financial operations, ensuring accuracy, strong internal controls, and clear internal visibility. This role serves as the primary internal liaison to the organization’s external accounting team (Gallagher Flynn), supporting communication, document flow, and workflow follow-through.
This position serves as the primary internal support for financial and operational processes, while maintaining organized and audit-ready records. The Specialist supports staff in navigating financial systems and procedures and ensures that financial workflows are consistently followed across the organization.
At King Street Center, this role contributes to operational excellence by ensuring financial and operational systems are clear, reliable, and accessible, supporting staff in their work with youth and families.
Essential Duties & Responsibilities
Financial Operations & Accounting Support
Serve as the primary internal liaison to the external accounting team, coordinating communication, document requests, and workflow follow-through
Coordinate accounts payable (AP) processes, including invoice intake, coding, and routing for approval through RAMP
Support accounts receivable (AR) processes, including invoicing, tracking receivables, and follow-up on outstanding balances
Partner with staff and managers to ensure timely and accurate expense submissions and approvals
Troubleshoot expense-related questions and support compliance with organizational policies
Maintain and follow established financial workflows, ensuring accuracy, completeness, and alignment with organizational policies and external accounting guidance
Support monthly financial processes by preparing and organizing documentation for the external accounting team
Track and coordinate staff and mentor reimbursements
Ensure proper documentation, coding, and organization of financial records
Maintain accurate, organized, and audit-ready financial files
Staff Financial Support & Systems Guidance
Provide clear guidance to staff on how to follow financial processes, procedures, and tools
Serve as a point of contact for staff questions related to expenses, reimbursements, and financial workflows
Support staff in navigating financial systems such as RAMP and QuickBooks interfaces
Reinforce consistent use of financial systems and adherence to organizational procedures
Administrative Coordination
Receive and sort incoming mail, routing development-related items to the appropriate team
Complete bank deposits for checks prepared and tracked by the Development team
Maintain clear documentation of deposits and provide confirmation to appropriate staff
Support accurate handoff of financial materials between teams
Audit, Compliance & Financial Systems Support
Support audit and 990 preparation by gathering and organizing requested documentation
Maintain organized records to ensure compliance with organizational policies and standard accounting practices
Assist with maintaining and improving internal financial workflows and systems in collaboration with the Senior Director of Operations and accounting team
Operations & Administrative Support
Support general operational tasks that contribute to day-to-day organizational continuity
Assist with cross-team coordination related to financial and operational systems
Provide basic support for system access, timesheets, and operational tools as needed
Decision-Making Scope
Make independent task- related decisions within established processes, policies, and systems
Escalate questions or situations that impact organizational finances, require policy interpretation, or fall outside established workflows
What We’re Looking For
Strong ability to operate within established systems and processes with consistency and accuracy
Strong judgment in knowing when to act independently and when to escalate questions
High attention to detail and ability to manage multiple recurring tasks and deadlines
Comfort working with financial data, systems, and documentation
Ability to communicate clearly with both finance and non-finance staff
A systems-oriented mindset, with an interest in keeping processes organized and accessible
Ability to maintain confidentiality and handle sensitive financial information appropriately
What You’ll Bring
At least 2–3 years of professional experience in finance operations, accounting support, or a related role
Experience supporting day-to-day financial processes such as invoicing, reimbursements, or expense tracking
Experience working with financial systems such as QuickBooks, RAMP, or similar platforms preferred
Experience working in a nonprofit or mission-driven organization preferred
Strong organizational and time management skills with the ability to manage multiple priorities
Strong written and verbal communication skills
Comfort working across finance, operations, and administrative functions
