Volunteer Coordinator

Position Overview:

King Street Center is seeking a people-oriented administrative professional to be Volunteer Coordinator for its Burlington based community youth development center starting in Fall 2025. The Volunteer Coordinator reports to the Mentor and Volunteer Director and is responsible for providing administrative support for King Street Center’s volunteer programs. This includes coordinating schedules, managing the volunteer database, and maintaining accurate reports. The role ensures volunteers have the resources they need to effectively support the team. The Volunteer Coordinator also supports recruitment of new volunteers and manages the on-site mentoring program (Book Buddy).  This is a full-time position for 30 hours per week year round. The weekly schedule is to be determined between the hours of Monday to Friday, 8:00am to 5:00pm for a total of 30 hours. (Schedule needs will change between the school year and summer. Some weekend and evening hours may be required for special event support.)

Essential Duties & Responsibilities:

Volunteer Program Administration:

  • Plan and implement all aspects of the on-site mentoring program (Book Buddy).

  • Develop and implement structured processes for the recruitment, scheduling, and management of volunteers across all program areas.

  • Create and maintain detailed schedules for volunteers, ensuring appropriate coverage and alignment with program activities and needs.

  • Maintain accurate and timely records of volunteer participation, contact information, training completions, and hours worked.

  • Monitor volunteer metrics and performance data, preparing regular reports and recommending improvements for efficiency and engagement.

Data Management & Reporting:

  • Administer the volunteer management database, ensuring up-to-date and accurate volunteer records, including background checks, training status, and volunteer hours.

  • Prepare and submit regular status updates to the Mentor & Volunteer Director, summarizing volunteer activities, participation trends, and areas for development.

  • Identify volunteer-related trends, issues, or gaps and propose data-driven solutions to enhance program effectiveness and retention.

  • Coordinate periodic audits of volunteer records and program outcomes to ensure compliance with organizational standards.

Volunteer Support & Training Coordination:

  • Support volunteer onboarding and training processes, ensuring new and existing volunteers are equipped with the necessary resources and training to succeed.

  • Collaborate with the Mentor & Volunteer Director to design and update volunteer orientation materials, training modules, and support systems.

  • Maintain detailed records of volunteer training sessions, certifications, and competencies.

  • Ensure alignment with recognized mentoring frameworks (e.g., the Elements of Effective Mentoring) in all training and volunteer interactions.

  • Identify opportunities for volunteer appreciation and execute

Volunteer Engagement & Retention Strategies:

  • Manage volunteer recognition and retention programs, ensuring regular communication and feedback loops to maintain a positive relationship with volunteers.

  • Implement strategies for volunteer engagement, including recruitment drives, events, and outreach initiatives.

  • Ensure the volunteer experience is inclusive, culturally responsive, and aligned with KSC’s commitment to diversity and social justice.

  • Track volunteer satisfaction through surveys and feedback, using results to improve retention and engagement strategies.

Event Support & Outreach:

  • Assist with the planning and logistics of volunteer-related events, such as appreciation activities, recruitment drives, and community events.

  • Provide administrative support at volunteer and community events, including registration, coordination, and follow-up.

  • Represent KSC at local events and outreach activities to build awareness of volunteer opportunities and attract potential volunteers.

Collaboration & Internal Coordination:

  • Collaborate with program directors and staff across KSC’s Early Education, K-5, Middle School, and Teen programs to ensure volunteer activities are well-aligned with organizational goals.

  • Maintain strong communication with internal teams to integrate volunteer support into programmatic planning and execution.

  • Serve as a liaison between volunteers, staff, and community partners, fostering positive working relationships.

Relationships & Roles:

  • Reports to Volunteer and Mentor Director.

  • Works closely with other program staff to plan and implement programs and to share building space.

  • Collaborates with HR Manager and Program Directors to ensure alignment of volunteer efforts with program and organization goals.

  • Interacts with children, families, community partners, Burlington schools, volunteers, donors, and other agency stakeholders.

Qualifications:

Knowledge, Skills & Abilities:

Required:

  • Administrative & Organizational Skills: Strong attention to detail and ability to manage multiple tasks and deadlines. Experience with scheduling, data entry, and process documentation.

  • Data & Technology Proficiency: Skilled in using data management software, email, Word, Excel, and other office tools; ability to quickly learn new systems.

  • Communication & Interpersonal Skills: Excellent written and verbal communication skills, with the ability to engage volunteers, staff and youth across diverse backgrounds.

  • Emotional Intelligence Skills:  Able to navigate a wide range of emotions and social skills in a diverse population that includes adults and children of diverse backgrounds. 

  • Adaptability & Problem-Solving: Able to adjust to changing priorities and manage tasks independently in a fast-paced environment.

  • Must have a valid driver’s license and pass a motor vehicle report.

Preferred: 

  • Volunteer & Program Management: Understanding of volunteer coordination, training, and engagement best practices. Familiarity with mentoring principles such as the Elements of Effective Mentoring. Familiarity with volunteer management software.

Experience: 

  • Required: 

    • Direct experience working with low-income communities and/or refugee, immigrant, and BIPOC youth and families.

    • Demonstrated ability to work with diverse communities and commitment to equity required.

    • Commitment to applying a racial equity lens in all aspects of volunteer coordination and program support.

    • Strong documentation and record-keeping skills. 

    • At least two years of work experience in a service industry role working with general population (e.g. customer service, community work, etc) 

    • Must pass a criminal background check through the VT Child Care Development Division.

  • Preferred:

    • Prior experience in volunteer management, event coordination, program administration or general management. 

    • Familiarity with mentoring frameworks and the ability to integrate them into program administration and volunteer training.

    • Proficiency in additional languages (particularly Nepali, Maay Maay, Somali, Burmese, or Swahili) is a plus.

    • Some training in diversity, equity and inclusion practices

    • Some experience working with children

Education:

Physical Requirements & Conditions of Work:

Work is conducted inside and outside during all seasons. Must be able to be physically active, participate in gross motor games, and walk distances to neighborhood sites. Occasional lifting of furniture, materials and children, weighing up to 50 pounds. Occasional interaction with children and families exhibiting some instability in their behavior. Some potential for risks to physical safety and security of the facility.  Potential for injury from physical interplay with children, and for illness passed along from children. Employment Details:

  • Pay: $20-$22 / hour

  • Position Type: Grant-Funded, 3-year term with potential for renewal 

  • Hours: Full-time, non-exempt, 30 hours/week, generally Monday-Friday, between the hours of 8:00am and 5:00pm, year-round, additional hours may be required for program needs in the evening or on weekends.
